I Imagine Life CRM Task Scheduler

The CRM Calendar is the hub to your I Imagine Life CRM tasks and calendar. This guide walks you through your tasks and schedule.

This page has the ability to enable you to follow up (or set yourself reminders to follow up) with your contacts. It adds a new top level menu to your CRM and allows you to add ‘Tasks’ to your CRM.

There are three sub-menu items for CRM Tasks:

  1. Task Scheduler Views

The CRM Task Scheduler comes with a default view set to be the current month. You can use this to navigate through the tasks that are coming up.

There are additional views which can help you see in more detail. You get to these by clicking the relevant button across the top of the Calendar View.

Calendar View

This is the main view and the default view. You cannot change the default view but you can quickly switch between views using the buttons at the top right of the calendar.

Week Agenda View

This gives you a familiar calendar style view where you can check what’s happening in the current week. It’s a great resource for managing your customers and keeping on top of things.

Day Agenda View

This view is used if you have a lot of tasks coming up and need to be able to see the detail a bit better.

List View

The final navigation option available is the list view this shows everything coming up in the current month but in a handy compact list view.

  1. Add New

What are Tasks?

This is what you add to the Calendar, there’s many terms for this which could have fit (for example, appointment, meeting, actual event, etc). So we decided to use the word ‘Tasks‘ to cater for all of the above.

You can ‘Add New’ tasks and these will show up on the Calendar.

How do I add a Task?

Adding a Task is straightforward. Click ‘Add New’

Once you click “Add New” you’re taken to the following screen:

This is where you complete the information needed to populate the tasks.

Task Title

This is the name of your Task, it is what will show up on the Calendar View.

Task Time

This is where you fill in the start and end date and time of the task. This is important as it determines where it shows up on the Calendar.

If you want a full day task, set it the start time to 00:00 and the end time to 00:00 the following day.

Assign to CRM User

You can assign a task to a CRM user. This will then be used to trigger the notification via email that their task is about to start (24 hours before it’s due).

Assign to Customer

If you want to flag that a task is related to a contact, you can assign the task to a contact. The customer will not be notified.

This is useful if you want to set reminders to follow up with a particular contact at a certain time.

Notification Options

The Calendar functionality allows you to set whether you want an email notification to be issued to the CRM user before a task is about to start.

Reminders are only set if a task has not been marked as Completed. If a task is completed it moves off the Main Calendar onto the ‘Completed Tasks’ calendar view.

Completed Tasks

Once you mark a task as complete it moves off your main calendar and onto your Completed Events Calendar View.

This is so your main calendar keeps uncluttered with too many tasks. It also gives you a way to recap on everything that’s been completed in the current month.

On the Tasks menu, simply click Completed Tasks. The calendar will appear with all the tasks that have been completed within a month.
